EVENT COORDINATOR

 
GameTime is looking for a take charge, bilingual (Spanish/ English) employee with the ability to manage administration and logistics in a busy special events environment. The Event Coordinator is responsible for booking private events ranging from Birthday Parties & Fundraisers to Corporate Events.  Must be able to anticipate project needs, discern work priorities and meet deadlines with little supervision and be willing to work weekends and the occasional evenings.  The Event Coordinator should have a love for special event management or coordination, provide outstanding customer service, be an enthusiastic professional and be able to build relationships with internal and external customers.

 
  • Generation and distribution of all event contracts for internal and external clients.
  • Supports Operational Management and F&B Department on all events including to but not limited to the following:  Supply orders, catering services, rentals, staffing and floor plan diagrams.
  • Responsible for all aspects of the daily reconciliation of our POS system to Event Contracts through final deposits, payments, adjustments and close-outs.
  • Aggressively solicit and generate new Corporate Event Sales
  • Keep track of event finances including check requests, invoicing, and reporting.
  • Coordinate appointments and visits to see our space, and scheduling of events on the calendar.
  • Assist with managing on-site production and clean up for events as necessary.
  • Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
  • Conduct research and find resources to help staff make decisions about event possibilities.
  • Serve as liaison with vendors and clients on event-related matters.
  • Plan, coordinate and execute outside sales calls
  • Responsible for all contract management; correct pricing, tracking of signed contracts, securing deposits, final client payments, A/R maintenance and on all events according to policies and procedures.
  • Responsible for overall client satisfaction, ensuring proper and successful execution of all events
  • Oversee and maintain all site Sales collateral and material (includes table top display, banners, posters, table tents, etc.
Qualifications:
 
  • Excellent communication skills, including writing, proof reading skills and speaking.
  • Ability to manage multiple projects and work assignments from a variety of staff.
  • Excellent interpersonal skills both in person and by phone, with high professionalism.
  • Ability to accomplish projects with little supervision.
  • Fantastic customer service ethic and high expectations for quality.
  • Organization is a must.
  • Proficient using the latest versions of Microsoft Office including but not limited to Word & Excel.
  • Bilingual English/Spanish
